Crossroads Christian Church Is Seeking a Full-Time Administrative Assistant

Nestled in the heart of beautiful East Tennessee, Crossroads Christian Church has become a trusted and vibrant part of the Gray community. Since our founding in 2001, our 28-acre campus, with its welcoming facilities and well-used sports fields, has served as a true gathering place. More than 300 times each year, neighbors, families, and community groups make use of our space, reflecting our desire to be a church that opens its doors wide and loves our neighbors.

Position Overview

The Church Administrative Assistant provides vital support to the ministerial staff, congregation, and church leadership by managing the daily operations of the church office. This role ensures smooth communication, organizes administrative functions, and helps maintain a welcoming and efficient environment that supports the mission and ministry of Crossroads Christian Church.

The Church Administrative Assistant is expected to uphold the highest standards of confidentiality, ensuring that all personal, financial, and sensitive information related to church staff, members, and visitors is handled with discretion. Protecting the privacy of the staff and congregation is essential to maintaining trust and integrity in the ministry of Crossroads Christian Church. No confidential information should be shared outside of appropriate church leadership or used for personal purposes.

This position is a salaried, non-exempt, full-time, 40-hour-per-week position. Additional work hours may be required from time to time.

Direct Report

The Church Administrative Assistant directly reports to the Lead Minister and the Executive Minister. 

Key Responsibilities

  • Office Management & Communication
    • Serve as the first point of contact for visitors, members, and callers, providing a warm and professional welcome.
    • Manage incoming phone calls, emails, mail, deliveries, and other correspondence.
    • Will assist in coordinating events and meetings for the staff.
    • Order and maintain the office supplies, communion for the church, and other ministry-related supplies as needed. 
    • Oversees the cleanliness and organization of the church office areas. 
  • Administrative Support
    • Under the direction of the Lead and Executive Ministers, provide secretarial and clerical support to ministerial and program staff, as well as church leadership.
    • Will oversee the calendars for the Lead and Executive Ministers.
    • Prepare weekly bulletins, newsletters, reports, and other church communications.
    • Assist in maintaining membership records, attendance, and databases.
    • Organize and maintain digital and paper filing systems.
    • Coordinate and organize office volunteers. 
  • Ministry & Congregational Support
    • Be the first point of contact for the congregation, assisting them to the best of your ability. 
    • Assist in coordinating volunteers for events.
    • Support ministry leaders with administrative tasks, promotional materials, and scheduling (printing, copying, etc.).
    • Help create an environment that reflects the church’s values of hospitality, care, and excellence.
  • Additional Responsibilities
    • Serve as the primary point of contact for the Benevolence Ministry with the community.
    • Attend and take notes for staff meetings 
    • Additional responsibilities as assigned. 

Qualifications

  • Strong organizational and time management skills with attention to detail.
  • Proficiency in office software (Microsoft Office Suite, Google Workspace, or equivalent); experience with church management software is a plus.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and discretion regarding sensitive information.
  • Professionalism, reliability, and the ability to work independently and collaboratively.
  • Previous administrative or office experience (preferably in a church or nonprofit setting).

Salary and Benefits

Salary for this position will be determined based on your education and experience. Benefits include paid time off, family leave, eligibility to enroll in the church’s 403(b) retirement plan, and access to a Health Care Flexible Spending Account. This role is classified as a salaried, non-exempt position with Crossroads Christian Church.
